A booking system for a photographer costs €7.90–19.95 a month by published price lists. Price is not this trade’s problem. The problem is that a photography business often runs two entirely different calendars at once: a wedding books a whole day with no clock times, and a school shoot generates a grid of a hundred children at fifteen-minute intervals. Most systems are designed for only one of these.

On its page for photographers, Hallinnoija quotes €7.90/month per bookable person and gives an example: €15.80/month for a two-photographer business, with no setup fee, no hidden costs and a 30-day free trial.
These are all small sums. Which is why the choice should rest on structure rather than price.
Two calendars that look nothing alike
Day booking. Weddings, corporate events, full-day shoots. The client picks a date, not a time. The calendar is binary: the day is either free or it is not. One wedding can be the largest single income of the month, and it is often booked six months or a year ahead. That also means cancellation arrives long after the agreement — and that the day has been off the market the whole time.
Grid booking. School shoots, passport photos, nursery shoots, Christmas sessions. Hallinnoija describes this on its photographer page: for school photography you define a specific day, a time window and a slot length, for example 15 minutes, and the system produces a run of consecutive slots. This is not about serving one client; it is about managing a hundred bookings in a single day.
The same business sells both. And the buyer’s checklist condenses into one question: does the system handle both without workarounds? Many general booking systems only understand time slots. Many tools built for creative trades only understand day bookings and quotes. If you do weddings and school shoots alike, test both structures during the trial period before committing.
A third structure is the studio itself. If you rent studio space or shoot products there, the space is its own bookable resource — Hallinnoija prices a person and a room on the same logic. Two photographers and one studio is therefore three resources, not two.
For a photographer, a deposit is not optional
A massage therapist’s lost hour is an hour. A photographer’s lost Saturday in June is a whole day, and it does not get resold on a week’s notice.
A deposit or booking fee is therefore an established practice in the trade, not a customer service failure. Compiled industry figures indicate a prepayment reduces no-shows by up to 65% (Simple Salon, 2026). Healthcare offers more precise measurement of reminders: in a randomised study of 9,835 patients, no-shows were 23.1% with no reminder, 17.3% with an automated reminder and 13.6% with a staff phone call (The American Journal of Medicine).
In practice a deposit requires a payment integration. At Hallinnoija, online payments are €9.90/month plus 2.5% + €0.39 per completed transaction, and the company gives an example where booking and online payments together come to €17.80/month. An on-site card terminal is €5.90/month — handy on location if the balance is settled after the shoot.
The arithmetic is simple. If a wedding shoot is €1,200 and one cancellation a year happens without a deposit, that is €1,200. The annual cost of a payment integration is in the region of €120 plus per-transaction commissions. One prevented cancellation covers it many times over.
Seasonality and the pricing model
A photographer’s year is not level. Summer and December are full; February can be nearly empty. That makes the choice of pricing model more consequential than in most trades.
A fixed monthly fee runs even when there are no shoots. €7.90/month is small enough not to matter, but if you end up with several resources plus payment features, the fixed portion can be €30–40/month all year round.
A percentage model follows demand: Hallinnoija offers an alternative priced at 1% of completed bookings only. In a quiet month you pay little; in a busy one, more. Which is cheaper depends entirely on your annual revenue — run both on your own figures rather than on a general recommendation.
A site does a different job from a calendar
For a photographer the portfolio is not decoration on the site; it is the site’s main content. A client does not choose a photographer on scheduling. They choose because the pictures look right.
Instagram does part of that work but not all of it: it does not state prices or terms, it is not indexed in search the same way, and nobody searches there with the phrase “wedding photographer Riihimäki price”. 84% of Finns look online for information about goods and services (Statistics Finland, 2025), and a question typed into a search engine lands on a website, not a social feed.
Website prices are one-off: single-page €400–900 plus VAT, multi-page €700–2,500 plus VAT (WebFin, 25 June 2026), with booking €2,000–6,000 (Poickeus, 2026), with integrations €3,000–10,000 (Nerot.fi, 2025). Who this does not suit
If you shoot on the side, take a dozen commissions a year and all of them come through people you know, both a booking system and an owned site are premature. A portfolio on social media and an email address will do, and the money is better spent on lighting or a lens.
The calculation shifts when there is room in the calendar you want to fill, when you do repeating grid shoots such as school or nursery sessions, or when you compete for commissions where the client is comparing three photographers side by side. In that situation a site with portfolio, prices and open dates makes the choice easy for the client — which is the whole point.
